Position Overview
The Administration and Community Engagement Officer plays a vital role in supporting the Groote Archipelago Regional Council's initiatives and programs within the Umbakumba community. This position is responsible for providing administrative support, facilitating community engagement activities, and fostering positive relationships between the Council and community members. The ideal candidate will possess strong communication skills, a passion for community development, and the ability to work collaboratively in a dynamic environment.

Key Responsibilities
1. Administrative Support
- Provide general administrative support to the Umbakumba Council Services Manager.
- Assist in the preparation of reports, meeting agendas, and minutes for community meetings and Council meeting sessions.
- Maintain accurate records, databases, and filing systems related to community engagement activities and administrative functions.
- Facilitate seeking quotations, raising purchase orders and processing invoice for payment. • Coordinate and schedule meetings, events, and training sessions as required.
2. Community Management
- Develop and implement community engagement strategies to promote participation and feedback from residents.
- Organise and facilitate community meetings, workshops, and events to gather input on Council initiatives and programs.
- Act as a liaison between the Council and the Umbakumba community, ensuring effective communication and addressing community concerns.
- Promote Council services and programs through various communication channels, including social media, newsletters, and community bulletins.
- Facilitate community civic events in a collaborative and consistent manner.
3. Collaboration and Relationship Building
- Foster positive relationships with community members, local organisations, and stakeholders to enhance community participation.
- Collaborate with other Council departments to ensure cohesive service delivery and community development initiatives.
- Identify opportunities for partnership and collaboration with local groups to support community projects and initiatives.
4. Monitoring and Reporting:
- Monitor and evaluate community engagement activities and outcomes, providing regular reports to the Council Services Manager.
- Monitor and report on Council delivery contract works within the community to the Council Services Manager.
- Assist in the collection and analysis of community feedback to inform decision making and program improvements.
- Maintain confidentiality and privacy regarding Council and community information.
5. Event Coordination
- Support the organisation of meetings, workshops, and community engagement events related to infrastructure projects.
- Assist where requested the organisation and planning of community civic, careers and training events.
Key Selection Criteria
Qualifications and Experience
Education: Relevant qualifications in community development, social sciences, public administration, or a related field.
Experience: Minimum of 5 years of experience in administrative support, community engagement, or related roles, preferably within a local government or community organisation.
Knowledge and Skills
- Strong interpersonal and communication skills, with the ability to engage effectively with diverse community members.
- Excellent organisational and time management skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with database management and reporting tools.
- Ability to work independently and as part of a team in a culturally sensitive environment

The Administration and Community Engagement Officer will work in a collaborative program environment within the Groote Archipelago Regional Council.
This position includes a house.
