Position Overview
The Administration Officer for Infrastructure and assets will play a crucial role in supporting the efficient operation of the infrastructure and assets division within the Groote Archipelago
Regional Council. This position involves providing administrative support, coordinating documentation, and assisting in the management of infrastructure projects to ensure that services meet community needs.

Key Responsibilities
1. Administrative Support
- Provide comprehensive administrative assistance to the Regional Manager and infrastructure team.
- Undertake scheduling of Repairs and Maintenance activities across council’s asset classes in line with budgeted allocations.
- Prepare and maintain project documentation, reports, and correspondence related to infrastructure projects.
2. Document Management
- Organise and maintain files, records, and databases related to infrastructure and asset management.
- Assist in the preparation of tenders, contracts, and agreements for infrastructure projects.
3. Communication
- Act as a point of contact for internal and external stakeholders regarding infrastructure inquiries.
- Facilitate communication between the infrastructure team and other council departments and community members.
4. Project Coordination
- Support the planning and scheduling of infrastructure projects, including tracking progress and deadlines.
- Assist in monitoring project budgets and expenditures, ensuring compliance with council policies.
5. Reporting and Analysis
- Assist in compiling and analysing data for project reports and presentations.
- Prepare regular updates on project status for the Regional Manager and internal stakeholders.
- Undertake residential tenancy inspections and reporting.
6. Event Coordination
- Support the organisation of meetings, workshops, and community engagement events related to infrastructure projects.
- Assist where requested the organisation and planning of community civic, careers and training events.
Key Selection Criteria
Qualifications and Experience
- Relevant qualification in administration or a related field is desirable.
- Proven experience in an administrative role, preferably within a government or infrastructure setting.
- Proficiency in Microsoft Office Suite and experience with project management software.
- Experience in Indigenous engagement and culturally appropriate training practices.

Conditions of Employment
- This position is primarily office-based, with occasional fieldwork to support infrastructure projects as required.
- The role may require some out-of-hours work for community meetings or events
- The successful applicant will be required to provide or undergo a Criminal History Check and obtain a Working with Children Clearance
